1. Introduction

Welcome to Base Camp Lodge. By accessing or using our services, including accommodations, tours, and other related offerings, you agree to comply with the following Terms and Conditions. Please read them carefully before making a booking.

2. Booking and Payments

  • All bookings are subject to availability and confirmation.

  • A deposit or full payment may be required to secure a booking. Payment details will be provided at the time of booking.

  • Prices are quoted in UGX or USD and are subject to change without prior notice.

  • Any outstanding balance must be paid before or upon arrival at Base Camp Lodge.

3. Cancellation and Refund Policy

At Base Camp, we understand that travel plans can change unexpectedly. Our cancellation and refund policy is designed to be fair, transparent, and considerate—while allowing us to maintain the quality of our service and support our local partners responsibly.

3.1  General Policy Overview
All cancellations must be submitted in writing via email to: [insert your official email]. Refunds, if applicable, will be processed within 14 business days of receiving the cancellation request.

  • No-shows and early departures are non-refundable.

  • Date changes made more than 15 days prior are free, subject to availability.

  • Within 15 days, changes incur a 25% rescheduling fee.

3.3 Lodge Stays – Cancellation Terms

  • Early check-outs are non-refundable.

  • One free date change allowed if notified 7+ days in advance; otherwise a 25% fee applies.

3.4 Non-Refundable Items

  • Park entry permits, gorilla/chimpanzee trekking permits, or any third-party ticket purchases are non-refundable as per supplier terms.

  • Special offers, promotions, and last-minute bookings may carry different terms, disclosed at time of booking.
     

3.5 Force Majeure

In the event of unavoidable circumstances (e.g. natural disasters, political unrest, pandemics), Base Camp may offer:

  • Postponement with credit valid for 12 months.

  • Partial refund, based on recoverable costs from suppliers.

 

3.6 Refund Processing

  • All refunds are processed to the original payment method.

  • Processing time: 7–14 business days.

  • Transaction/banking fees are non-refundable.

3.7 Our Commitment to You

We value your trust and aim to resolve cancellations as smoothly and empathetically as possible. We encourage guests to consider travel insurance to protect against unexpected changes.

4. Guest Responsibilities

  • Guests must respect local customs, laws, and Base Camp Lodge’s policies.

  • Any damage caused to property or facilities will be charged to the responsible guest.

  • Smoking is permitted only in designated areas.

  • Base Camp Lodge is not responsible for loss, theft, or damage to personal belongings.

5. Health and Safety

  • Guests are responsible for ensuring they are medically fit for any activities they participate in.

  • Some activities may require a certain level of fitness and involve risks. Participation is at the guest’s own risk.

  • Base Camp Lodge reserves the right to deny participation in activities if safety is a concern.

6. Travel Insurance

  • We strongly recommend that all guests obtain comprehensive travel insurance covering medical emergencies, cancellations, lost luggage, and other unexpected incidents.

7. Liability Disclaimer

  • Base Camp Lodge is not liable for any personal injury, loss, or damage sustained during your stay or participation in any activities.

  • We are not responsible for delays, cancellations, or changes caused by circumstances beyond our control.

8. Privacy Policy

  • Guest information is handled with confidentiality and used solely for booking and service purposes.

  • We do not share personal data with third parties unless required by law.

9. Changes to Terms and Conditions

  • Base Camp Lodge reserves the right to update or modify these Terms and Conditions at any time. The latest version will always be available on our website.
